One tenant, two ladders

Matric and O Level, side by side

A school running a national stream and a Cambridge stream runs both in one CampusFlo tenant — separate ladders, separate grading, one student record.

Configuration, never a fork

A profile sets the level ladder, term structure, grading scheme, attendance model and the vocabulary itself. Every value stays editable afterwards.

Building it

Clashes are caught as you place a period, not after

The builder checks the teacher, the room and the group live as you drop a subject into a slot, and counts periods against what the curriculum map says the subject should get each week.

  • Week grid per group, with the assigned teacher auto-filled
  • Live clash checking on teacher, room and group
  • Workload counters against periods-per-week in the curriculum
  • Room suggestions by type, so a practical lands in a lab

Sets and streams

Students who split across groups still get one timetable

Teaching sets draw students from several groups — ability sets, elective blocks, a Cambridge stream inside a national school. A student’s own view merges their group timetable with every set they belong to.

  • Teaching sets that override the group timetable for their members
  • Elective option blocks resolved per student
  • A merged student view, not a class view they have to interpret
  • Two-week A/B cycles and rotating day patterns

Cover assigned before the first bell

The substitution desk reads today’s staff absences from HR, lists the uncovered periods, and suggests free teachers by subject and current load. Assigning notifies everyone and logs it for allowance reporting.

  • Uncovered periods derived from HR leave and staff attendance
  • Suggested substitutes ranked by subject match and daily load
  • Notifications to the substitute, the group and the portals
  • A substitution log per teacher for allowances and workload review

When the day changes shape

Ramadan, exam weeks and half-days are windows, not rebuilds

A special timetable window replaces the normal period structure for a date range and then expires, so the ordinary timetable is never edited and never has to be restored afterwards.

  • Period templates per campus, shift and day of the week
  • Special windows for Ramadan, exam weeks and half-days
  • Friday and shift timings handled as templates
  • Versioning per term, with change notifications on publish

The rules it enforces

A timetable that can be saved with a clash in it is a timetable that produces one.

No double-booking

A teacher, a room or a group cannot appear twice in the same slot within an effective window. Full stop.

Subjects must be on the curriculum

A slot can only carry a subject the group actually takes that year.

Substitution limits

A substitute cannot exceed their configured daily maximum without an explicit override.

Assignments respect employment dates

A teacher cannot be scheduled outside their employment period recorded in HR.

Publishing is deliberate

A draft is not visible to parents or students until it is published, and republishing notifies affected groups.

Period marks need a slot

Period attendance can only be recorded against a real timetable slot or an explicit ad-hoc session.

How it works in your country

The shape of the school day is one of the most local things about a school.

Pakistan
  • Shortened Friday timings as a standard template
  • A Ramadan window that compresses periods for its date range
  • Morning and evening shifts on the same campus
United Kingdom
  • Two-week A/B timetables
  • Form time and registration periods as slot types
  • Ability sets that cut across form groups
United States
  • Block schedules and rotating day cycles (Day 1–6)
  • Lunch waves within a period
  • Semester course changes mid-year
Gulf
  • Shortened Ramadan timings
  • Friday and Saturday weekend patterns
  • Separate timings by section where required

What it prints

  • Printed timetables per group, teacher and room
  • The master timetable across the campus
  • The daily substitution sheet
  • Teacher load and room utilisation reports
  • An iCal feed per teacher and per group

Who sees what

  • Parent — the child’s week, including substitutions
  • Student — their own merged timetable across sets
  • Teacher — their timetable, cover duties and free periods
  • Timetable coordinator — the builder, publishing and the substitution desk
  • Campus head — uncovered periods, teacher load, room utilisation

Works with

The timetable is the clock the rest of the school day runs on.

Questions about timetable and scheduling

Does it generate the timetable automatically?
The builder is manual with live clash checking, which is how most schools want to work because the constraints they care about are rarely all written down. Constraint-based automatic generation — teacher availability, maximum periods per day, subject spread, double periods and room types — produces a draft for review and is a later enhancement rather than a replacement for the builder.
How does Ramadan or an exam week work?
As a special timetable window covering a date range. It replaces the period structure for those dates and then expires, so the ordinary timetable is never edited and never needs restoring afterwards.
Can a student in an elective block see one combined timetable?
Yes. A student’s view merges their group timetable with every teaching set they belong to, so an elective in period 3 shows the set they are actually in rather than the class default.
How are absent teachers covered?
The substitution desk reads today’s absences from HR leave and staff attendance, lists the uncovered periods, and suggests free teachers ranked by subject match and current daily load. Assigning notifies the substitute and the group, and logs it for allowance reporting.

Bring your worst timetable week

Split sets, a Cambridge stream, two shifts, Friday timings. The awkward cases are the useful ones to look at.
