Matric and O Level, side by side

A school running a national stream and a Cambridge stream runs both in one CampusFlo tenant — separate ladders, separate grading, one student record.

Configuration, never a fork

A profile sets the level ladder, term structure, grading scheme, attendance model and the vocabulary itself. Every value stays editable afterwards.

School library management system

The collection

A catalogue built for a school library, not a national one

Titles carry the bibliographic detail that matters and no more. Each physical copy has its own accession number, location and status, which is what makes stock verification and loss tracking possible.

  • Titles with ISBN lookup, classification and cover images
  • Copy-level accession numbers, location and status
  • Barcode label printing and the accession register
  • Periodicals check-in, e-resource links, and withdrawal or weeding

Scan the member, scan the book, done

Circulation is built around a barcode scanner and a keyboard. Policies for how many items and how many days apply by member type, so the librarian is not deciding case by case.

  • Issue, return and renew from one screen
  • Member policies by type — students by level, and staff
  • Reservations with a queue, and notification when a copy frees
  • Lost and damaged handling, and stock verification by scanner

Overdues

Reminders go out before a fine exists

Due-soon and overdue notices reach students and guardians on the channels the school already uses, which recovers far more books than a fine ever does.

  • Due-soon, overdue and reservation-available notifications
  • Overdue lists by class, for a form teacher to chase
  • Fines calculated daily by a scheduled job
  • Most-borrowed, circulation and member-activity reporting

Students search the catalogue where they already are

The catalogue appears on the student and parent portals, so a child can check whether a book is in before walking to the library, and renew without queuing at the desk.

  • Catalogue search on the student and parent portals
  • Own loans, due dates, renewals and reservations
  • Reading lists per subject and per level
  • Reading history where a school chooses to keep it

The rules it enforces

Circulation rules are what stop a library quietly losing a quarter of its stock.

One active loan per copy

A physical copy can only be on loan to one member at a time — which is why copies are tracked, not just titles.

Policy limits are enforced

Issuing beyond a member type’s item or renewal limit is blocked rather than discouraged.

Accession numbers are permanent

A withdrawn copy keeps its accession number with a withdrawn status, so the register stays continuous.

Fines accrue on a schedule

Fines are calculated by a daily job, so two members with the same overdue are treated identically.

Reservations queue in order

A freed copy goes to the next member in the queue, with a notification and a hold period.

Stock verification is recorded

A verification run records what was scanned and what was missing, as a dated report.

How it works in your country

School libraries differ less between countries than most modules, but the vocabulary and classification do.

Pakistan and India
  • Accession register as the primary record, matching audit expectations
  • Class-wise issue limits and form-teacher overdue lists
  • Fine references held for billing rather than collected at the desk
United Kingdom
  • Reading lists tied to schemes of work
  • Reading records for literacy tracking
  • Library periods timetabled per class
United States
  • Media centre vocabulary where a school uses it
  • Dewey classification with subject collections
  • Reading-level tagging on titles

What it prints

  • The accession register, and barcode labels
  • Member cards
  • Overdue notices for students and guardians
  • Stock verification reports
  • Circulation, most-borrowed and lost-item reports

Who sees what

  • Parent — their child’s current loans and due dates
  • Student — catalogue search, own loans, renew and reserve
  • Librarian — cataloguing, circulation, members, fines, stock
  • Teacher — reading lists for their subject and class
  • Campus head — circulation volume and stock reporting

Works with

The library uses the student record for membership and messaging for reminders.

Questions about school library

Is this a full library system or a simple book list?
It is copy-level circulation: titles with individual accession-numbered copies, member policies by type, issue and return by barcode, reservations with a queue, fines on a schedule, and stock verification by scanner. It is scoped to a school library rather than an academic or public one.
Do we need barcode hardware?
A scanner makes the desk much faster and is what the screens are designed around, but issue and return also work by typing or searching an accession number. Label printing is built in.
How are overdue books chased?
Due-soon and overdue notices go to the student and their guardians on the channels the school already uses, and an overdue list per class lets a form teacher chase in registration. Fines are calculated daily where a school charges them.
Can students search the catalogue themselves?
Yes — the catalogue appears on the student and parent portals, where they can also see their own loans, renew within policy and place a reservation.
