One tenant, two ladders

Matric and O Level, side by side

A school running a national stream and a Cambridge stream runs both in one CampusFlo tenant โ€” separate ladders, separate grading, one student record.

Configuration, never a fork

A profile sets the level ladder, term structure, grading scheme, attendance model and the vocabulary itself. Every value stays editable afterwards.

The problem

Most schools already have a system. They have six of them.

A register book, WhatsApp groups, spreadsheet mark sheets, a fee ledger, a separate accounts package and a filing cabinet. Each one holds part of the same student, and nobody holds all of them.

Six systems

One student, six half-records

Nothing reconciles, so every question becomes a phone call.

  • The register book knows who was absent; the parent finds out at home time.
  • Marks live in a spreadsheet on one teacher's laptop.
  • A WhatsApp group reaches the parents who joined it.
  • The leaving certificate is retyped from a file nobody can find.
  • Head office waits until term end to see anything.
CampusFlo

One record per student

Written once, read by every module that needs it.

  • The register writes attendance, and attendance alerts the guardian.
  • Gradebook marks flow into the exam result and the report card.
  • Messages target a class, a section or one child, with a delivery log.
  • Certificates are generated from the record, with serial numbers.
  • The principal sees today, per campus, without asking anyone.
One product, every country

The same system speaks your school's language

CampusFlo ships nine education-system profiles, and a profile is configuration rather than a separate build. It sets the level ladder, the term structure, the grading scheme, the attendance model and the words the screens use โ€” and every value stays editable afterwards.

Nothing below is a translation layer. The ladder, the identifiers, the grading scheme and the vocabulary are the product's own data, which is why a school running a national stream and a Cambridge stream can run both in one tenant.

The modules

Thirty-five modules, in six clusters

Every module writes into the same student record, so work done once is not done again. Eighteen of them make up the school core; the rest cover boarding, inclusion, safeguarding, statutory returns and the public-facing site.

Depth where others stop

The modules that decide a tender

Most school systems cover attendance, marks and fees, then stop. These are the ones inspectors, boards and parents ask about โ€” and the ones a school discovers are missing after it has already bought something else.

01

Safeguarding

Restricted concern records with a chronology, referral tracking and an access audit on every view.

02

Inclusion & SEND

Support plans with targets and reviews, and exam access arrangements that reach the seating plan.

03

Health & wellbeing

Nurse visits, medication logs with consent, care plans and an emergency summary staff can see.

04

Statutory returns

Board and government exports built from the same data โ€” BISE and FBISE lists, the UK census, US state files.

Already in the box

The back office is not a separate purchase

CampusFlo runs on a production ERP, so accounting, payroll, purchasing and the canteen counter are part of the same system rather than something to integrate later. Schools buying elsewhere buy a school system, then buy accounts, then reconcile the two by hand.

Accounting

Double-entry ledgers, vouchers, banking and financial reporting.

HR & payroll

Teachers and staff are employees: leave, shifts, payroll, self-service.

Canteen & bookshop

A point of sale that keeps working through an internet outage and syncs on reconnect.

Inventory & purchasing

Uniforms, stationery, lab supplies and assets across campuses.

Enquiry CRM

Admission enquiries with sources, follow-ups and conversion tracking.

Messaging

WhatsApp, SMS, email and in-app, with templates and delivery logs.

Who gets what

Everyone sees their own job, and nothing else

Permissions are set per action and per role, so a subject teacher, a nurse and the principal open the same system and see different things. Sensitive records โ€” health, inclusion, safeguarding, counselling โ€” sit behind their own permissions with an access audit.

Principal

Today, across every campus, without asking anyone for a report.

  • Attendance today, by campus, level and section
  • Admissions funnel, seats filled and enquiry sources
  • Behaviour incidents and staff absence
  • Results by subject and teacher, term over term
Security & data protection

A school's most sensitive records live here

Medical notes, safeguarding concerns, custody arrangements and exam results are not ordinary data, and CampusFlo treats them accordingly. Access is granted per action, masked per field and audited on every view.

Field-level masking

A role sees the fields its job needs. Others are hidden rather than merely read-only, and never appear in exports.

Restricted records

Health, inclusion, safeguarding and counselling each sit behind their own permission, separate from general staff access.

Access audit

Opening a sensitive profile is recorded. Concerns cannot be deleted, only voided with a reason and an author.

Consent & preferences

Guardians choose channels and language, and consent is captured against the record rather than assumed.

Export & erasure

Subject-access export and erasure workflows, with retention rules that run as scheduled jobs.

Records-access rules

Education-records access is configurable per profile โ€” FERPA in the US, GDPR in the UK and EU, and court-order flags on custody.

How data protection works

Getting started

From signed to live in four steps

Setup is configuration rather than development, because the education-system profile does most of the work. You pick a profile, we import what you already have, and your staff train on your own data.

Profile & campuses

Pick your education system, confirm the ladder and vocabulary, add campuses, shifts and your print identity.

Import

Students, guardians and staff from spreadsheets, with a validation preview and an error file before anything is written.

Structure

Sections, subjects, the curriculum map, teaching assignments and the timetable for the current year.

Train & go live

Role-based training on your own data, then registers, homework and parent messaging from day one.

Questions

Questions schools ask first

Does CampusFlo work for a school that runs two systems at once?
Yes. A school running a national stream alongside a Cambridge stream can run both ladders in one tenant, each with its own levels, grading scheme and vocabulary, while a student keeps a single record. This is the reason profiles are configuration rather than separate builds.
Is this for schools, colleges or universities?
All three, on the same foundation. Schools use the level ladder, sections and board exams; colleges add subject combinations and streams; universities add programs, semesters, credit hours and CGPA. Pre-schools, academies and multi-campus groups are supported by the same profiles.
How do parents receive attendance alerts?
Through whichever channel the guardian has chosen โ€” WhatsApp, SMS, email or the app. Alerts go out once the register closes rather than one message per mark, and every send is recorded in a delivery log against the student and the guardian.
Can it produce our board's report card and certificates?
Yes. Report cards are built from templates with per-level and bilingual variants, and certificates carry serial numbers, a stored data snapshot so reprints match the original, and a QR verification page. Pakistani school leaving certificates, UK leaver letters and US enrolment verification letters are all template variants.
What does CampusFlo cost?
Price depends on how many students you enrol, how many campuses you run, which modules you switch on and how much data needs migrating. We give you a written quote after the demo rather than a number that turns out not to apply to your school.
Who builds CampusFlo?
IT Vision Pvt. Ltd., based in Lahore with a UK presence. CampusFlo runs on the same platform as the company's ERP products, which is why its accounting, payroll, purchasing and point-of-sale are production software rather than school-specific rewrites.
