One tenant, two ladders

Matric and O Level, side by side

A school running a national stream and a Cambridge stream runs both in one CampusFlo tenant — separate ladders, separate grading, one student record.

Configuration, never a fork

A profile sets the level ladder, term structure, grading scheme, attendance model and the vocabulary itself. Every value stays editable afterwards.

School communication app — WhatsApp, SMS, email and in-app

One place for every message the school sends: notices, absence alerts, the daily diary, results and emergencies — targeted by class, section or child, with a delivery log for each one.

Audiences

Message exactly the people you mean, not a group somebody built once

Audiences are built from live school data — this campus, this level, this section, this house, the guardians of these students — so a message reaches the current cohort rather than whoever joined a chat group two years ago.

  • Whole institution, campus, level, section, house, or named students
  • Guardians of a filtered set, staff, or one individual
  • Channel chosen per recipient from their stated preference
  • Cost estimate before a bulk send goes out

Automatic messages

Most messages send themselves

The messages that matter most are triggered by events elsewhere — a register closing, homework being set, a result publishing, an incident being logged. Rules and templates turn those into messages without anyone composing one.

  • Triggered by attendance, homework, results, behaviour and admissions
  • Templates with merge fields — child’s name, section, due date, teacher
  • Quiet hours, and a daily digest option so families are not pinged all day
  • Bilingual templates where a second language is configured

Notices and meetings

A notice you can prove was read

Notices carry an audience, a publish window and optional acknowledgement, so you can see exactly who has not responded — which is the difference between having sent a consent form and having it back.

  • Notice board with pinning, expiry and attachments
  • Acknowledgement required, with an outstanding-response report
  • Parent-teacher meetings: slot generation, booking and reminders
  • Two-way threads, or broadcast-only if you prefer

When it matters most

One button reaches everyone, and you can see who got it

Closures, weather and security events go out on every channel at once with confirmation tracking, so the question “did the message reach them” has an answer rather than an assumption.

  • Emergency alerts across all channels simultaneously
  • Confirmation tracking per recipient
  • Delivery and read rates, and cost per channel
  • A complete communication log against each student and guardian

The rules it enforces

Messaging is where a school can do real damage quickly. These are the guards.

Channels must be configured

External sends require an active, configured channel and respect its daily limits, so nothing silently fails to leave.

Under-age messages go to guardians

A message to a student below a configurable age is routed to their guardians instead.

Opt-outs are honoured

A guardian who has opted out of a category is excluded from those audiences automatically.

Quiet hours hold messages

Non-emergency messages queue outside the configured window rather than arriving at midnight.

Threads are auditable

Parent-teacher conversations are retained per policy and can be escalated to a head.

Every send is logged

Recipient, channel, template, time and delivery status — per student and per guardian.

How it works in your country

Which channel a school actually uses is one of the sharpest differences between markets.

Pakistan
  • WhatsApp first, because that is what families use
  • Urdu templates alongside English
  • SMS sender-ID rules respected
United Kingdom
  • Email-first with app push, in line with parent expectations
  • GDPR consent captured per channel and category
  • MIS-style communication patterns
United States
  • Email-first with push, robocall integration optional
  • FERPA-safe content rules on what may be included
  • District-level audience structures
Gulf
  • Arabic templates with right-to-left rendering
  • Bilingual notices as standard
  • WhatsApp and SMS both widely used

What it prints

  • Printed circulars from the same notice content
  • Parent-teacher meeting schedules
  • Delivery reports by campaign and by channel
  • Unacknowledged-notice lists
  • Cost per channel over a period

Who sees what

  • Parent — notices, alerts, threads within policy, meeting booking
  • Student — notices addressed to students
  • Teacher — message guardians of their own groups only
  • Front office — bulk sends, notices and the complaints desk
  • Principal — emergency alerts, delivery and response rates

Works with

Communication is the output channel for most of the rest of the system.

Questions about communication

Is WhatsApp really supported, or just SMS?
WhatsApp is a first-class channel alongside SMS, email and in-app, and in Pakistan it is normally the default because it is what families actually use. Each guardian’s preferred channel is stored on their record and used automatically.
How is this different from a school WhatsApp group?
A group reaches whoever joined it, has no record of who read what, and cannot be targeted. Here the audience is built from live school data, every send is logged per recipient with its delivery status, and notices can require an acknowledgement you can chase.
Will parents be flooded with messages?
Quiet hours hold non-urgent messages outside a configured window, absence alerts are batched once the register closes rather than sent per mark, and guardians can opt into a daily digest. Opt-outs by category are honoured automatically.
Can we stop teachers messaging parents directly?
Yes. The whole institution can be set to broadcast-only, or two-way threads can be limited by role, by group and to office hours, with escalation to a head where a conversation needs it.

Send yourself an absence alert

It takes about a minute on the call, and it is the clearest way to see how targeting and delivery logging actually work.
