One tenant, two ladders

Matric and O Level, side by side

A school running a national stream and a Cambridge stream runs both in one CampusFlo tenant — separate ladders, separate grading, one student record.

Configuration, never a fork

A profile sets the level ladder, term structure, grading scheme, attendance model and the vocabulary itself. Every value stays editable afterwards.

Hostel management system for boarding schools and colleges

Rooms and beds, allotment, evening roll-call, the outpass workflow, visitors and mess — with guardians told every time a boarder leaves the premises or comes back.

Occupancy

Every bed has a state, and you can see all of them at once

Hostels, blocks, floors, rooms and beds are modelled properly, so allotment is a decision against real capacity rather than a list somebody maintains separately from the students.

  • Hostel, block, floor, room type and individual bed records
  • Allotment with preferences, sibling and roommate rules
  • Room-change history, and vacate with a clearance checklist
  • Room asset inventory and maintenance requests

Roll-call

A warden marks the roll from a phone, in the corridor

Evening roll-call is the safety-critical routine in a boarding house. It is marked on mobile, absences alert immediately, and the record is kept — because “we think everyone was in” is not an answer.

  • Mobile roll-call per block, per floor or per room
  • Immediate alerts on an unaccounted boarder
  • Roll-call summary retained per night
  • Health incidents routed to the nurse, discipline to pastoral care

Leaving the premises

A boarder leaves with the guardian’s consent on record

The outpass workflow asks the guardian through the parent portal, records the approval, logs the exit and the return, and messages the family both times. Nothing rests on a signature in a book.

  • Outpass request with dates, destination and reason
  • Guardian consent captured through the parent portal
  • Exit and return logged, with alerts to the family on both
  • End-of-term vacate and return scheduling

Daily life

Visitors, mess and complaints all leave a trail

The things that generate disputes in a boarding house — who visited, what was served, who complained and what happened — are recorded where a warden can find them months later.

  • Visitor register with ID capture and in/out times
  • Mess menu publishing, with optional meal attendance
  • Complaints with a status and an owner
  • Maintenance requests against a room, tracked to completion

The rules it enforces

A boarding house is responsible for children overnight. The constraints reflect that.

Allotment needs a real bed

A student can only be allotted to a bed that exists and is free for those dates.

Capacity overrides are explicit

Exceeding a room’s capacity requires a permission and is recorded against whoever authorised it.

Outpass needs guardian consent

An outpass cannot be approved without the guardian’s recorded consent, unless overridden with a reason.

Roll-call absences alert immediately

An unaccounted boarder raises an alert at the moment the roll is marked, not in a morning report.

Vacating requires clearance

A student cannot be released from a bed until the clearance checklist is complete.

Every gate movement is logged

Exits and returns are recorded with a time, and the guardian is notified on both.

How it works in your country

Boarding practice varies, and so do the records inspectors ask for.

Pakistan and India
  • Large hostels attached to schools and colleges, with wardens per block
  • Guardian-approved outpass as the norm
  • Mess plans and meal attendance where fees are per-meal
United Kingdom
  • Boarding house structure with housemasters
  • Safeguarding records kept separately and access-audited
  • Statutory expectations around supervision recorded
Gulf
  • Separate boys and girls accommodation with distinct staffing
  • Sponsor and guardian details held on the record
  • Bilingual notices to families

What it prints

  • Occupancy and vacancy reports by block and room type
  • Nightly roll-call summaries
  • The outpass log, and the visitor register
  • Maintenance requests and their status
  • End-of-term vacate and return schedules

Who sees what

  • Parent — their child’s hostel details, and outpass approval
  • Student — room, mess menu, outpass status
  • Warden — occupancy, roll-call, outpass, visitors, complaints
  • Nurse — health incidents raised from the hostel
  • Campus head — occupancy, roll-call compliance, incident counts

Works with

The hostel reads the student record and writes to welfare and messaging.

Questions about hostel and boarding

Can wardens mark roll-call on a phone?
Yes — that is the intended way to do it, room by room or floor by floor while walking the block. An unaccounted boarder raises an alert at the moment the roll is marked rather than appearing in a report the next morning.
How does an outpass work?
A student or the office raises the request with dates, destination and reason. The guardian approves it through the parent portal, the approval is stored, and the exit and return are both logged at the gate with a message to the family each time.
Does it handle separate boys’ and girls’ hostels?
Yes. Hostels are separate records with their own blocks, wardens, capacity and staffing, and permissions can be scoped so a warden sees only their own hostel.
Are hostel charges handled here?
The allotment stores a reference to the room tariff so charging can be applied when fees are billed. The fees and billing module is real and the dedicated page for it is being written; nothing about charging is claimed on this page.
